Terms of Service

These terms cover work performed by Kanata Hood Cleaning Pros and the use of kanatahoodcleaningpros.ca. They are written to be read rather than to be impenetrable, because a customer who understands the scope before the crew arrives is a customer who gets what they expected. Last updated August 2026.

Quotes and scope

Quotes are free, written, and issued after a walk-through of the actual kitchen. A quote names the scope: which canopies, which duct sections, and whether the rooftop fan is included. Anything outside that named scope is not included, and any additional item found necessary during the walk-through, such as access panels, a fan hinge kit, grease containment or replacement filters, is quoted as a separate line for approval.

A quote holds for thirty days from issue unless it says otherwise. It assumes the system is in the condition observed at the walk-through. Where a system turns out to be materially worse than it appeared, because a sealed section is opened and found heavily loaded, work stops and a revised price is agreed before continuing. Nothing is added to an invoice after the fact without prior approval.

Verbal estimates given over the phone are indications, not quotes. Only the written quote is binding.

Access, scheduling and cancellation

Performing the work requires access to the kitchen, to the ceiling space where duct access panels are located, and to the roof. Arranging that access is the customer's responsibility, including any keys, alarm codes, hatch permits, escorts or landlord permissions the building requires. The access plan is agreed before the crew is dispatched.

Where access cannot be provided on the scheduled date, or a roof cannot be worked safely because of weather or ice, the affected section is deferred to a follow-up visit and recorded on the certificate as not reached, with the reason. A wasted call-out where access was arranged and then unavailable may be charged.

Bookings cancelled or rescheduled with reasonable notice carry no charge. Overnight and between-event slots are scheduled around your kitchen specifically, so late cancellation of one of those may be charged for the reserved crew time. Any such charge is raised before it is invoiced.

What the work covers, and what it does not

The service is commercial kitchen exhaust cleaning: the canopy interior, grease gutter and trough, baffle filters, plenum chamber, duct run, transitions, vertical riser and rooftop exhaust fan, cleaned to the extent the NFPA 96 standard describes, together with photographs and a signed certificate.

The following are outside scope and are not performed: residential range hood cleaning, general janitorial and office cleaning, floor and grout cleaning, HVAC or air duct cleaning, dryer vent cleaning, exterior pressure washing, and fire suppression system service. Fire suppression is a separately licensed trade with its own inspection interval, handled by a suppression contractor.

Access panel installation, fan hinge kit fitting, grease containment fitting and filter replacement are available and are quoted separately. Structural duct repair, duct replacement, fan motor or bearing replacement, and electrical work are not performed and are referred out. Where a defect of that kind is found, it is reported in writing rather than repaired without instruction.

Kanata Hood Cleaning Pros works to the published NFPA 96 standard and is not affiliated with NFPA. It does not hold, and does not claim, any NFPA certification, because NFPA does not certify contractors.

Certificates and documentation

A signed certificate is issued on completion of every visit. It records the date, the servicing company, the areas cleaned, and any area that could not be cleaned along with the reason. Before and after photographs of the exhaust system accompany it.

The certificate is a record of the work performed on that date. It is not a statement that the wider building complies with the Ontario Fire Code, not a substitute for an inspection by Ottawa Fire Services, and not a warranty of the condition of equipment that was not part of the work. Responsibility for maintaining the system at the required interval, and for keeping the records available on site, remains with the operator of the kitchen.

Copies of certificates and photographs can be sent to a landlord, franchise head office or insurer at the customer's request.

Payment, liability and general terms

Invoices are issued after completion and are payable on the terms stated on the invoice. Work performed on approved additional lines is invoiced alongside the cleaning. Overdue accounts may carry interest at the rate stated on the invoice.

Liability insurance and WSIB coverage are in place and documentation is provided on request, including in advance where a building requires it lodged before access. Any damage caused by the crew during the work should be reported promptly so it can be assessed and dealt with through that coverage.

Liability is limited to the value of the work performed, except where law does not permit that limitation. No liability is accepted for pre-existing defects, for the condition of sections that could not be accessed and were recorded as such, or for consequences arising from a customer declining recommended remedial work such as fitting access panels.

These terms are governed by the laws of the Province of Ontario. If any provision is found unenforceable, the remainder continues to apply. Terms may be updated, and the version in force is the one published here on the date work is booked.

Frequently asked questions

Can the price change after the quote?

Only in one situation, and only with your agreement first. If a sealed section is opened and found materially worse than the walk-through suggested, work stops and a revised price is agreed before it continues. There is no scenario in which an invoice arrives carrying charges you were not asked about.

What happens if the roof cannot be accessed on the night?

The kitchen-side work proceeds, the fan section is deferred to a follow-up visit, and the certificate records the fan as not reached with the reason stated. This happens most often between December and March. It is written down rather than quietly omitted, because a certificate that overstates the work is worse than useless in an insurance claim.

Does the certificate mean my kitchen is fire code compliant?

It means the exhaust system was cleaned on that date to the extent recorded. Compliance is broader: it also covers suppression service, equipment condition, records being kept on site, and cleaning happening at the required interval. The certificate is a necessary part of that picture and not the whole of it, and only Ottawa Fire Services can speak to the whole of it.

Do you offer any guarantee on the work?

If the cleaning does not meet the scope described in the quote, it gets put right at no charge. That is a straightforward commitment and the photographs make it easy to assess. It does not extend to pre-existing equipment defects, to sections recorded as inaccessible, or to grease that has accumulated since the visit.

Who is responsible for setting the cleaning interval?

The operator of the kitchen. A recommended interval is provided with every quote, based on the grease load found rather than on the cheapest category, and reminders can be set up. The legal obligation to have the system cleaned at the required frequency sits with the operator, and no contractor can take that on for you.
